1. Legal notice

Videoconversion Digital Lab®, S.L., hereinafter VIDEOCONVERSION, whose activity is dedicated to the digitisation of analogue video, film, audio and image formats, as well as the development of professional artificial intelligence solutions through its MediaSolam division, is based in Barcelona (08023), with registered office at Avenida República Argentina, 38, local 1, CIF B56766793, e-mail info@videoconversion.es and telephone +34 934 173 739.

In compliance with the provisions of Law 34/2002, of 11 July, on Information Society Services and Electronic Commerce (LSSI-CE), it identifies itself as the owner of the following websites:

As well as all other domains under its ownership. Any personal data that may be requested for the provision of services available on these websites will be processed in accordance with our Privacy Policy. The applicable cookie regime is governed by our Cookie Policy (section 5).

Any user who registers and/or contracts the services of VIDEOCONVERSION is subject to the general terms of use of the websites and the general terms and conditions of the service or product contracted in each case.

2. Privacy policy and data protection

This Privacy Policy applies to all personal data that the user provides to VIDEOCONVERSION, with express consent, through online forms, SaaS applications, digitisation services or any other means of data collection.

2.1. Who is the data controller?

VIDEOCONVERSION DIGITAL LAB®, S.L. is the Data Controller of the user's personal data and informs the user that such data will be processed in accordance with Regulation (EU) 2016/679 of 27 April 2016 (RGPD) and Organic Law 3/2018 on the Protection of Personal Data and the guarantee of digital rights (LOPDGDD).

The User may contact the data controller at info@videoconversion.es with any questions or needs regarding data protection.

2.2. For what purpose do we process your personal data?

VIDEOCONVERSION may process the personal data provided by the User for the following purposes:

  • Provision of the contracted digitisation service, including the management of shipments, invoicing and communication related to the order.
  • Provision of services through the SaaS applications of the MediaSolam division (VerbaDoc Pro, Scriptorium IA, Annalogica, Annalysis Media and others), including the processing of documents, audio, video and images uploaded by the user.
  • To inform the User, including the sending of commercial communications to the e-mail address provided, about services, promotions and news.
  • To carry out promotional activities regarding products and services of VIDEOCONVERSION and MediaSolam.

2.3. What is the legal basis for processing?

The legal basis for data processing for purposes (a) and (b) is the performance of the service provision contract. For purposes (c) and (d), the legal basis shall be the User's consent or the legitimate interest of VIDEOCONVERSION in providing information about services similar to those previously contracted. The User acknowledges and accepts that failure to provide certain data will prevent the provision of services linked to such data.

2.4. How long do we keep your data?

VIDEOCONVERSION will retain its clients' data for the duration of the contractual relationship. Subsequently, data will be retained for promotional purposes if consent has been given, unless the User revokes it. In any case, data will not be retained for longer than necessary for the purposes described, without prejudice to the retention required for the formulation, exercise or defence of potential claims and/or as permitted by applicable legislation.

2.5. Data processing in SaaS applications (MediaSolam)

Documents, images, audio and video files uploaded by the user to the MediaSolam division applications will be processed exclusively to provide the requested service. VIDEOCONVERSION will not access the content of the processed files unless strictly necessary for the provision of the service or technical support. Files are stored on servers located within the European Union and are automatically deleted after the period defined in the terms of each service. No international data transfers outside the European Economic Area will be carried out.

2.6. Who has access to your personal data?

The provision of the service may require third-party service providers to access the User's personal data as data processors (transport services, web hosting, payment processing). VIDEOCONVERSION may make transfers or communications of personal data to fulfil its obligations to Public Administrations, Law Enforcement Agencies and judicial bodies, in accordance with current legislation.

2.7. What are the users' rights?

VIDEOCONVERSION informs the User of the possibility of exercising the following rights:

  • Right of access to your personal data
  • Right to rectification of inaccurate data
  • Right to erasure ("right to be forgotten")
  • Right to data portability
  • Right to object to processing
  • Right to restriction of processing
  • Right not to be subject to automated decisions

These rights may be exercised free of charge by means of a written and signed request addressed to: Videoconversion Digital Lab, S.L., Avenida República Argentina, 38, local 1, 08023 Barcelona, or by e-mail to info@videoconversion.es with the subject line "Data protection", enclosing a copy of your national identity document or equivalent identification document.

VIDEOCONVERSION also reminds the User that they have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD), located at C/ Jorge Juan, 6, 28001 Madrid (www.aepd.es).

2.8. Opting out of commercial communications

The User has the right to revoke at any time the consent given for the sending of commercial communications, by notifying info@videoconversion.es or clicking the unsubscribe link included in each communication.

2.9. Minimum age

The websites and services of VIDEOCONVERSION are not directed at persons under 18 years of age. By accepting this Privacy Policy, the User declares and warrants that they are over 18 years of age.

2.10. Security measures

VIDEOCONVERSION undertakes to comply with its obligation to maintain the secrecy of personal data and has implemented the necessary technical and organisational security measures to guarantee the security of the data and prevent its alteration, loss, unauthorised processing or access, in accordance with the provisions of applicable regulations. VIDEOCONVERSION continuously maintains the supervision, control and evaluation of its processes to ensure respect for the privacy and security of information.

3. Intellectual and industrial property rights

3.1. Registered trademark

"Videoconversion Digital Lab" is a trademark registered with the Spanish Patent and Trademark Office (OEPM). The reproduction, imitation, use or registration of this trademark or any sign that may cause confusion with it, without the express written authorisation of Videoconversion Digital Lab, S.L., is expressly prohibited. Any infringement of trademark rights will be prosecuted in accordance with current industrial property legislation.

3.2. Applicable legislation

The websites of VIDEOCONVERSION and all content, services and elements integrated therein are owned by or under the control of VIDEOCONVERSION, and are protected by the intellectual and industrial property laws of the Kingdom of Spain, Regulation (EU) 2017/1001 on the European Union trade mark and applicable international treaties and conventions.

VIDEOCONVERSION is the exclusive owner of all intellectual property, industrial property and analogous rights that may apply to the websites, including, by way of example and without limitation:

  • The visual appearance, graphic image and design of the web pages.
  • The navigation architecture, source code, photographs, computer programs, databases and technology.
  • Logos, trademarks, trade names, distinctive signs and domain names.
  • The names and trademarks of the SaaS applications: VerbaDoc Pro, Scriptorium IA, Annalogica, Annalysis Media, Media Enhancer and AnnaMETS.
  • The trademark and trade name "MediaSolam".

3.3. Licences on property

The user acknowledges that VIDEOCONVERSION does not assign or transfer any rights over its property. VIDEOCONVERSION authorises the user solely to access and use the websites and services in accordance with these terms. Users are not authorised to copy, distribute, transmit, communicate, modify, alter, transform, assign or engage in activities involving the commercial use of the websites, their content or elements, whether in whole or in part, without the express written consent of VIDEOCONVERSION.

3.4. Domain protection

The domains videoconversion.es, videoconversion.cat, videoconversion.eu and mediasolam.eu are the exclusive property of Videoconversion Digital Lab, S.L. Any registration of domains that may cause confusion with the aforementioned shall be considered an act of unfair competition and/or an infringement of trademark rights, and may be prosecuted in accordance with current legislation and applicable domain dispute resolution procedures.

4. Security and confidentiality of material

Security is the overriding principle under which all processes and operations of VIDEOCONVERSION are defined. We guarantee:

  • The strictest care in the custody of tapes, images, documents and media entrusted to us by the client.
  • Absolute privacy and confidentiality in all processes we carry out.
  • Secure storage of digital files on servers located within the European Union, in compliance with the RGPD.
  • Secure deletion of files once the order has been completed and delivered to the client, unless a specific retention agreement exists.

5. Cookie policy

This Cookie Policy aims to provide the necessary information so that the user can choose whether to allow the installation of the cookies used by VIDEOCONVERSION.

5.1. What are cookies?

Cookies are small data files stored on the user's device when visiting a website. They allow the site to remember information about the visit, such as the preferred language and other options, facilitating navigation and making the site more useful.

5.2. Types of cookies we use

  • Technical or necessary cookies: Allow navigation through the website and the use of its basic functionalities (language preference, user session).
  • Analytical cookies: Allow the tracking and analysis of user behaviour to improve the service (Google Analytics or other equivalent tools).

VIDEOCONVERSION may include hyperlinks to other sites that are not operated or controlled by VIDEOCONVERSION. It does not guarantee and is not responsible for the lawfulness, reliability, usefulness, truthfulness and currency of the content of such websites or their privacy practices.

7. Applicable law and jurisdiction

These General Terms of Use and the remaining legal conditions of the website shall be governed by Spanish law. For any issues that may arise or actions derived from the provision of the services and content of VIDEOCONVERSION, and regarding the interpretation, application, compliance or breach of the provisions herein, VIDEOCONVERSION and the User, expressly waiving any other jurisdiction that may apply to them, submit to the jurisdiction of the Courts and Tribunals of Barcelona, Spain.

8. Modification of the legal notice

VIDEOCONVERSION may modify this Legal Notice, Privacy Policy and Cookie Policy in accordance with the legislation applicable at any given time. Any modification will be duly notified to the User and, where required by applicable regulations, their consent will be requested.
